The problem

Why this had to exist.

Small businesses lose money and customers in their inbox. A steady trickle of emails comes in — new people asking “how much for a website?”, leads going quiet, the same handful of questions over and over. Every one is a potential sale, but answering them well takes time, and time is the one thing a small team doesn’t have. Replies come late, sound rushed, or never go out at all. Hiring someone to sit on the inbox is expensive, and most cheap “auto-reply” tools feel robotic and make the business look worse, not better. So the business is stuck choosing between slow and expensive.

What it does

A quiet teammate that drafts every reply

Poki Staffed watches a business’s support inbox and writes the replies for them — in the business’s own voice, using the business’s own pricing and facts — and hands each one to a human to approve before it goes out. Think of it as a well-trained junior teammate who drafts every email reply, but never hits “send” without a person glancing at it first.

How it works

The everyday version

Five steps, start to finish. The customer never sees the machinery.

01

A customer emails the business

Same inbox as always — nothing changes for the customer.

02

The assistant reads it and figures out what it is

A new sales lead, a pricing question, a common FAQ, or just junk that needs no reply.

03

It writes a draft reply

It sounds like the business, pulls in the right prices and details, and even moves a sales conversation forward — pricing out a project once it understands what the customer wants.

04

A human reviews it

On a simple dashboard: approve as-is, tweak a few words, or discard. Nothing is ever sent automatically.

05

Once approved, the reply goes out

It sends from the business’s normal email address. The customer just sees a fast, helpful, on-brand response.

Why it’s trustworthy

Built so a person is always in control

A human always has the final say — the assistant proposes, a person decides. It cannot send anything on its own.
Each business is walled off on its own. One client’s customers, emails, and information are never mixed with another’s — privacy is built in, not bolted on.
It stays in its lane. When an email is from a relationship the owner handles personally, the assistant steps back rather than butting in.
It learns from corrections. When a human fixes something, it gets better at that kind of email next time — for that business only.
Who it’s for

Small teams that live and die by their inbox

Small, service-based businesses that want to look bigger and respond faster than their size would normally allow. It’s run as a hands-on, managed service for a small number of clients — not a giant self-service app — so each one gets a setup tailored to how they actually talk to their customers. The first business running on it is Poki Labs itself — both the first customer and the proof that it works.

Roadmap

What’s coming next

Today, Poki Staffed works a business’s email inbox — that’s the whole product right now. Two more ways of helping are on the roadmap, but neither is built yet.

Text messages (SMS) — the same idea as email: a customer texts in, the assistant drafts a reply, a human approves it, and it sends. A natural next step.
Phone calls — a live, real-time phone assistant. A call happens in the moment, so the “draft, then approve” approach doesn’t apply; it’s a separate future product rather than part of the inbox assistant.
