Poki Labs(“we”, “us” or “our”) is a software studio based in Ottawa, Ontario, Canada. This Privacy Policy explains what personal information we collect through our website at https://pokilabs.ca(the “Site”), why we collect it, how we use and share it, and the choices and rights you have. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

We aim to collect only what we need. The personal information we collect falls into two groups:

Information you give us

When you fill out the contact form on the Site, we collect the information you provide, which is:

• Your name
• Your email address
• Your company name (optional)
• The message you send us

You choose what to include in your message, so please avoid sending sensitive personal information you don’t want us to hold.

Information collected automatically

Like most websites, our hosting provider keeps standard server and access logs. These can include your IP address, browser type, the pages you visit, and the date and time of your request. This information helps keep the Site secure and running properly. We do not currently use any third-party analytics or advertising trackers on the Site.

2. How we use your information

We use the information we collect to:

• Respond to your inquiry and follow up with you about it;
• Provide, discuss and deliver the services you ask about;
• Operate, maintain and secure the Site; and

We do not sell your personal information, and we do not use it for unrelated advertising.

• Service providers. We use Resend to deliver the email generated by our contact form, and a hosting provider to run the Site. These providers process your information only to provide their services to us.
• Legal reasons. We may disclose information if required by law, or to protect the rights, safety or property of Poki Labs or others.

We do not sell, rent or trade your personal information to third parties.

4. Data retention

We keep your personal information only as long as we reasonably need it — to respond to and follow up on your inquiry, to maintain our business records, and to meet any legal or accounting requirements. When we no longer need it, we take steps to securely delete or anonymize it.

5. How we protect your information

We use reasonable administrative, technical and physical safeguards to protect your personal information against loss, theft and unauthorized access, use or disclosure. That said, no method of transmission over the internet or method of electronic storage is completely secure, so we cannot guarantee absolute security.

6. Your rights under PIPEDA

Under PIPEDA, you have the right to access the personal information we hold about you and to ask us to correct it if it is inaccurate or incomplete. You may also withdraw consent to our use of your information, subject to legal and contractual limits, and ask us about how your information is handled.

7. Children’s privacy

The Site is intended for a general business audience and is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

8. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Significant changes will be reflected here, so we encourage you to review this page periodically.
